Select Reports
The Select Reports feature comprises of three sections
Column Customization
Previously, every time a schedule ran, the column settings configured by the Help Desk Technicians at the time of manual report generation were applied But now users do not have to adhere to the same columns as in manual report generation while scheduling a report. Users can define their own columns and sort the reports using specific columns.
Schedule Duration
You can set the time at which the scheduled reports have to be generated as per your requirements. With this option, you can also have the reports generated repeatedly at the desired times.
Following are the options available for specifying the execution time for scheduled reports:
Schedule Report Format
You can select the format in which you would like to have the report mailed. Select the PDF, HTML, CSV, XLS or CSVDE formats, based on your choice. The Storage Path link will enable you to specify the location where you would like the reports to be stored.
Email Address To Send Reports
The email addresses of the desired recipients can be mentioned using this option. You can enter multiple email addresses, separated by commas.
To send the reports as attachments and to customize the email content use 'Advanced Email Settings' which has the following options:
Tip: You can use the Send Test Mail option to confirm if the recipient email id is a valid one.
The Select Reports feature comprises of three sections
Click on the Report Type you want to schedule.
Select the reports from the Available Reports list. Enter the Input parameter details if asked for.
You can view the reports in the Selected Reports list.
Use the Remove link to eliminate any report from the selected list.
You can set the time at which the scheduled reports have to be generated as per your requirements. With this option, you can also have the reports generated repeatedly at the desired times.
Following are the options available for specifying the execution time for scheduled reports:
Hourly: This option generates the selected reports once every 'n' hours from the time the schedule is created.
Daily: This option generates the reports once every day at the specified time.
Weekly: This option generates the selected reports once in a week, on the specified day, at the specified time.
Monthly: This option generates the scheduled reports once every month on the specified day, at the specified time.
More: With this option you get more flexibility in deciding the execution time for the scheduled reports. You can create a customized execution time and frequency for the scheduled reports using the following choices:
Starting Date: This can be used to specify the day from which this schedule has to be executed.
At: This option allows you to set the time at which the scheduled reports have to be generated.
Frequency: You can specify the number of times that this schedule has to be executed using the following options:
Run Once:This option will execute the schedule just once, at the specified time.
Repeat:This executes the schedule repeatedly with a with the specified time interval between successive executions. You have the following options to set the desired time interval:
Minutes:This option will execute the schedule one every 'n' minutes.
Days:This option can be used to generate all the scheduled reports once every 'n' days, as specified.
Weeks:This option generates the scheduled reports once every 'n' weeks, on the specified day(s) of the week.
Months:This option will execute the schedule once every 'n' months, on the specified day.
Years:This option will generate the scheduled reports once every 'n' years, on the specified days of the months selected.

Enable Attachment:Select this option to send the reports as email attachments. Select 'Send As Files' to send the reports as individual files. Choose 'Send As ZIP Format' to send the reports in compressed (ZIP) format.
Send Link In Email:Select this option if you wish to send the link to the location of the generated reports instead of sending the reports as attachments.
Mail Content:You can have a customized email subject and message to be sent to the recipients while sending the reports.
Notify Only If Data Is Available:If this option is selected, the email will be sent only if there if the generated reports have data in them.
Tip: You can use the Send Test Mail option to confirm if the recipient email id is a valid one.
Click the SAVE button to add the schedule to the schedule reports list.
Click the Scheduled List link to see the list of tasks you have scheduled.
Click the Scheduler History link to view scheduled reports details from the Report Center. Details like Schedular name, Description, Configured OUs, Started Time, Schedular Status (SUCCESS/ SKIPPED/ PROCESSING), Report Details and Message are available here. The Scheduled Reports link under Report Details gives you a zipped version of the scheduled report that had been generated.
At times, you would require to temporarily stop the generation of a scheduled report and would like to resume it again at some other point of time.
To disable a schedule,
Click the Reports Tab
Click the Schedule Report link to open the Schedule Reports page
You will find a list of Scheduled reports on this page.
Click on the Enable icon in the Action tab column, appropriate to the Scheduled Report you want to disable.
The Enable icon will be replaced by the Disable icon.
To enable a schedule,
Click on the Disable icon in the Action tab column, appropriate to the Scheduled Report you want to enable .
When a Schedule is no longer useful, you can delete it from the Schedule Reports list.
To delete a schedule
Click the Reports Tab
Click the Schedule Report link to open the Schedule Reports page
You will find a list of Scheduled reports on this page.
Click on the Delete icon in the Action tab column, appropriate to the Scheduled Report you want to delete.
The deleted Schedule will no longer be listed.
You can make changes to the existing schedule as may be required using the Edit option.
Follow the steps to edit a schedule:
Click the Reports Tab
Click the Schedule Report link to open the Schedule Reports page
You will find a list of Scheduled reports on this page
Click on the Edit icon in the Action tab column, appropriate to the Scheduled Report you want update.
You can make the changes in the Schedule Reports page.
Click on the UPDATE button to save the changes.
You can copy any existing schedule and create a new one using its settings.
Follow these steps to copy a schedule:
Click the Reports Tab
Click the Schedule Reports link to open the Schedule Reports page
Click Scheduled List to see the list of available schedules
Click the Copy icon in the Action column of the schedule that you want to copy
Provide a name to the new schedule and click Save
You can now edit the new schedule using the Edit icon, as per requirement
This option allows the administrator or the help desk technician who creates a schedule to share it with fellow help desk technicians. The technician with whom a schedule is shared will have permissions to view, copy, and execute the schedule.
Follow these steps to share a schedule:
If you wish to share this schedule with all the technicians, select the 'share with all technicians' option.
Note: The technicians with whom the schedule is shared will have the permission to only view, copy, and execute the schedule. They will not be able to edit it.
Extended Report Scheduler
The extended scheduler feature allows you to schedule custom reports as well as some important Office365 reports and Active Directory reports. You can find the list of reports supported here.
